Director of Facilities and Capital Projects Leadership Position Job Term: Full Time We are seeking an individual who is inspired by our mission and whose beliefs align with our core values of integrity, compassion, inquiry and courage, and reflects our core competencies to join Havergal College as our Director of Facilities and Capital Projects . This is a full-time position. The Position The Director of Facilities & Capital Projects provides leadership in two specific areas: Facilities – Overseeing the maintenance and capital improvement of the school’s buildings (300,000 sq. ft. total), grounds (22 acres) to achieve optimal utilization of the school’s physical assets, to ensure the upkeep of the facilities, and to maintain the safety of the school’s campus. Capital Projects – Leading, planning and executing strategic capital projects of varying sizes for the school, in accordance with the Campus Strategic Plan. The role requires the incumbent to be on campus, full time, to provide site support to the Security, Grounds, Maintenance and Custodial teams. Specific Accountabilities Facilities Articulate a clear, innovative strategic vision for the school’s facilities in accordance with the Campus Strategic Plan and Building Conditions Assessment. Manage the implementation of short and long-term strategies in the areas of asset management, maintenance programs, building operations, energy management, engineering management, and compliance with applicable facility construction legislation, codes, and guidelines. Oversee and manage relationships relating to contracted services, including tendering, legal agreements, timelines, and budget. Ensure contracts are cost effective for the school. Oversee the procurement of furniture, fixtures, and equipment. Oversee the safe and efficient start-up of school and the move in process. Coordinate building and utility shutdowns with the school, minimizing impact to building/school operations. Oversight of waste disposal and environmental initiatives. Have oversight on the tickets in the Management Maintenance System and liaise with school staff for maintenance request needs where required. Using a hands-on approach, diagnose mechanical and electrical issues as required and oversee the coordination of maintenance, repairs, operations, and shutdowns. Conduct regular inspections of the facilities to detect and resolve problems and ensure an inspection rotation process is in place. Oversight on regular maintenance of the school’s maintenance equipment and vehicle fleet. Make recommendations for acquiring new / replacement equipment. Provide oversight and management for the facilities rental program. Mentor and provide effective leadership to the members of the Security, Grounds, Maintenance and Custodial teams, including onboarding, training on equipment, safety protocols, and providing regular performance feedback. Responsible for the facilities operational budget and capital spend budgets as approved and determined by the COO and Principal. Develop and implement policies and procedures and systems to ensure the efficient, safe and timely provision of facility services in the School, compliance with regulations and laws relating to facilities, Health and Safety guidelines, and local and federal codes. Ensure the safety of the facilities for all employees, students and public through the adherence to facilities-related safety policies and procedures. Capital Projects Understand the school’s strategic goals in the Campus Strategic Plan, the Building Conditions Assessment, and long-term financial plans. Lead capital infrastructure projects as approved by the school, including design, costing, preparation of documentation, the RFP process, coordinating the professional contractors/consultant selection process, defining project requirements, and ensuring that project closeout activities (including the management of open permits with the City) are completed promptly and efficiently while representing the needs and the best interests of the College. Direct liaison with consultants, architects, general contractors, City officials as required for zoning, site plan agreements and official plan amendments where required. Engage school staff to design and coordination building space allocation and layout, facility expansion, involving needs analysis, functional programming, plan development. Compile data for generating status update presentations for the Senior Leadership Team (SLT), and Board Committees. Qualifications, Knowledge and Experience Post-secondary education (preferably PEng designation) Refined project management experience (preferably PMP designation) Demonstrated progressive experience in facilities management in leadership roles Multi-discipline construction experience, with progressive management and supervisory-related responsibilities Knowledge of and exposure to municipal bylaw regulations and historical building requirements Demonstrated expertise in contract negotiation Demonstrated experience in contract dispute and resolution Demonstrated experience with building automation and HVAC systems Ability to manage several projects progressing simultaneously Strong oral and written communication skills Able to work under conditions associated with typical facilities management, with regular requirements to wear protective equipment and safety gear (safety boots, hard hat) for site visits, building inspections including roofs, structures, and mechanical rooms exposing the incumbent to a risk of injury and health hazards, and inclement weather when inspecting construction projects, and climbing on roof structures.
