Role Responsibilities The Administrative Services Coordinator position is responsible for delivering administrative functions that support the services provided by Elections Alberta. This function is essential to the delivery of services with duties that vary considerably in range and complexity. This position provides a full complement of administrative services and coordinates administrative standards by communicating effectively with all staff and following applicable policies and procedures. This position is the first point of contact for Elections Alberta, receiving visitors, answering general inquiries from the public, as well as receiving, screening, and directing calls, emails, mail, invoices, and other correspondence and administering the distribution and collection of incoming and outgoing correspondence. This position is responsible for providing administrative support as requested, including drafting replies to routine correspondence, preparing for meetings, and training sessions, and recording meeting minutes. This position is responsible for managing general office administration, including card access, building access and alarms, parking, mailroom, kitchen, and meeting rooms. Qualifications High School Diploma and at least two years related experience. Preference will be given to applicants with post-secondary education and/or equivalent experience in a related field. Previous experience working for the Government of Alberta in an administrative role would be an asset. Experience dealing with a variety of internal and external stakeholders, and ability to communicate with tact, diplomacy, discretion, and good judgement. Experience with filing systems and records management systems and processes. Knowledge of Versatile Express is an asset. Proficiency in agenda building, minute taking, document writing, and proofreading. Excellent keyboarding skills along with intermediate to advanced proficiency with Windows, MS Office Microsoft Word, Excel, PowerPoint, Outlook, Teams, and Adobe Acrobat software applications is required. Ability to learn new software quickly. Commitment to detail and accuracy. Superior administrative, prioritization, and organizational skills. Excellent communication skills. Ability to manage time and workload effectively in a fast-paced environment with multiple competing priorities. Flexibility and creativity to manage a wide range of projects and evolving challenges. Aptitude to work independently under the constraints of time and seriousness of situations with frequent interruptions. Ability to achieve objectives, and complete tasks in required timelines and to meet deadlines. Ability to initiate, monitor, and document activities to create documentation, and ensure timely, accurate, and successful delivery of services and assigned work. Excellent team player, able to work with diverse groups in a high-stress, fast-paced environment.  Knowledge of proper English grammar and usage as well as appropriate Canadian Press, plain-language writing styles. Knowledge of administrative Government of Alberta policies, procedures, processes, and directives would be an asset. Knowledge of and ability to learn pertinent legislation and policies to direct queries and respond to requests for information. Familiarity with electoral procedures, the Election Act and Election Contributions and Disclosure Act, as well as other applicable legislation would be an asset. Thorough understanding of the sensitivity, confidentiality, and risks associated with the programs delivered.
