You will build positive and collaborative relationships throughout the hearing journey for both the clients we service and the teams you will work with. Reporting to the Regional Manager, the Client Service Administrator (CSA) is the first point of contact for most of our clients and is responsible for providing superior client care and administrative support.Customer ServiceGreeting clientsAnswering the telephoneManaging client appointments and scheduling:Maintaining clinician’s schedulesTriaging all appointmentsChanging appointments to accommodate client and clinic needsUsing telephone pathway to book initial client appointmentsContacting existing clients to schedule appropriate appointments.Following protocols associated with the companies Telephone Performance Analysis.Clinic AppearanceDaily cleaning and tidying as needed.Tidying and organizing Assistive Listening Device (ALD) displays and client waiting area.Maintaining and ordering office and clinic supplies.Hearing Professional and Administrative SupportOpening and closing the Hearing Healthcare Centre (HHC)Registering all new clientsMaintaining all paper files including creating, organizing, filing, and destroyingShipping and receivingTracking all orders through administration system and shipping logPreparing orders for fittingsAssisting with local events as neededUnderstanding and applying all promotionsUnderstanding and selling all ALDsProviding basic hearing aid maintenance including cleaning/checks and tubing changesAccounting and Third-Party Insurance SupportAssisting with client estimatesCounting and reporting opening and closing cash floatProcessing all payments; cash, cheque, post-dated cheques, credit card and debit cardCompleting daily sales reconciliation on time and accuratelyCompleting monthly inventory and accounting controlsUnderstanding Debits and CreditsHaving working to expert knowledge of all third-party insurance programsCompleting and submitting all third-party insurance formsFollowing up on all outstanding third-party claimsWhat You Will NeedPost-secondary education in an applicable fieldAt least 2 years’ customer service experienceOrganized, detail-oriented, and comfortable working with multiple prioritiesAccommodationsHearingLife Canada is committed to a diverse and inclusive workplace.
