We are currently recruiting Contract Support Coordinator (12 month FTC) to join our global account team based in London. The successful candidate will provide administrative, analytical and reporting support to the team and customer. Responsible for management of platform reports to include, monthly reports, overtime, budgets, works rejections, critical preventative maintenance validation records and submittals to client. Responsible for coordination of human resource related activities. Raising purchase orders and tracking through to processing supplier invoices / recording / filing and preparing for billing. Supports Account Manager by compiling reports, initiates routine correspondence specific to department; compiles, analyzes, and prepares data for administrative reports and presentations. Very customer focused as position interfaces with client and cross portfolio colleagues. Duties to include: · Provides administrative support to the Hard Services team and customer. · Responds to general inquiries concerning area activities in accordance with established policies and procedures. · Assists in budget preparation, reporting, control of records, statistics and personnel changes. · Manages departmental technical systems such as; platform web-page, reference manuals, and shared support network drive. · Prepares and develops administrative platform policies andprocedures. · Provides support during new hire indoctrination process to include network access, email /phone setup, equipment & uniform orders, vehicles, access badges, and p-cardplacement. · Assists in planning, coordination and execution of departmental events and employee recognition programs. · Maintain calendar schedule and distribution lists for assigned personnel. · Assists in screening and onboarding new employees. · Management of upload and download of CMMS Data · Perform additional job duties as requested. Personal Attributes · Must possess excellent oral, written and interpersonal skills. · Able to listen and respond well to inquiries from internal and externalclients. · Able to maintain confidentiality of data interjected at the contract support level, prior to being reviewed by management personnel. · Requires general knowledge of financial terms andprinciples. · Under general supervision, follows established procedures and applies general principles, theories and concepts. · A high level of initiative Personal Qualities: · Minimum 5 years' experiencein Facilities / Building Services administration · Intermediate experience with Microsoft Office programs. · A smart presentable appearance · Advanced communication skills with a full understanding of customer needs & expectations · Ability to comprehend and act upon both verbal and written instructions · Enthusiasm and demonstration of pro-activity, diligence and alertness, with the willingness to participate in appropriate training schemes · Integrity, honesty and punctuality is also expected · Strong communication skills and the ability to deal with all levels of staff. · Reliable and conscientious About CBRE: As one of CBRE's core global businesses, Global Workplace Solutions (GWS) provides end-to-end services to occupier clients across the entire lifecycle of a building.
