We are looking for an experienced office manager, part-time, who can become part of the team and oversee our daily activities with a focus on human resources and operational efficiency.
You will play a key role in fostering a culture of positive cooperation, learning, diversity, and inclusion within our organisation.
In this role will work closely with the CEO, and an international team of 18 consultants.
Responsibilities: Staff Engagement and Events: Organise staff socials and team building activities to foster a positive work environment.
Support the organisation of company events.
Support the organisation of events and conferences on behalf of our clients.
Employee Onboarding: Organise induction programs for new employees, being their main point of contact for initial setup (IT equipment, email addresses, payroll, etc.) Training and Development: Monitor training materials and ensure they are up to date, source external providers and organise sessions.
Financial Administration: Process expenses accurately and efficiently.
Meeting Support: Organise and attend meetings with senior management, taking comprehensive notes.
HR Support: Be the main point of contact for HR queries to pass to the external HR team and the lead director of HR.
Assist the organisation's HR function by keeping personnel records up to date.
Facilitate the recruitment process by reviewing job descriptions, adding the job ad to different job boards, shortlisting applications and arranging interviews.
Facilitate the employee annual review process by supporting line managers where needed.
Manage internal policies and procedures.
Be the main point of contact for our health insurance provider and pension provider.
Office Management: Order office supplies and handle meeting room bookings Negotiate and manage office insurance contracts as required.
Ensure compliance with health and safety regulations.
Manage office subscriptions to magazines and online resources.
Be the main point of contact between the office provider and Whitehouse.
Be main point of contact for external IT supplier.
Website Management: Be liaison between our SEO and website design agencies.
Qualifications: Previous office / operations management experience is a requirement (minimum 3 years).
Proficiency in Microsoft Office.
Good interpersonal and time management skills.
Keen attention to detail.
Reliability and discretion.
Previous HR experience would be an asset.
