The purpose of this role is to assist in the daily running of the Reservations department, ensuring that all M&C procedures and targets are met.

Key responsibilities as a Reservations Supervisor:

Oversee daily operations of the reservations team to ensure prompt, efficient and courteous service

Resolve customer complaints in a timely and professional manner

Maintain accurate records and reports on all reservations activities

Provide direction and leadership to Reservations Manager, assisting them to achieve their potential, closing performance gaps and achieving overall departmental objectives.

Assist the reservations manager in achieving maximum room rate, yield and conversions.

Ensuring effective communication within the department on promotional activities within the hotel, including food & beverage activities and in room promotions to assist in achieving/exceeding our revenue goals.

Fully knowledgeable about hotel guest rooms, rates, promotions, amenities, programs, hotel facilities and services.

If there are failed reservations to update the Hotel software then process those reservations manually.

Update No-shows and cancellations without fail to avoid and unwanted commissions.

Understand and enforce hotel and company credit policies and Ensure proper billing instructions, routing instructions and payment methods are applied to the reservations.

Verify if each reservation requests are processed as per the hotel standards and without delay.

Verify if reservation confirmation letters are send for all processed bookings within the stipulated time.

Process retentions, no-show and cancellations as per the hotel policy and procedures.

Handles the reservation correspondence accurately and neatly and follow up for any missing correspondence before guest arrival.

All reservation modifications are updated on the property management system immediately and accurately in case of any changes.

Maintain department approved quality assurance program to include, but not limited to, rates, deposits property descriptions, activity tables and reservations letters.

As a Reservations Supervisor, the essential skills required:

  • Working with Opera Cloud would be preferable
  • Have experience working in the Reservation Department
  • Positive attitude and good communication skills
  • Good organisational and administration skills
  • Commitment to delivering a high level of customer service
  • Confident telephone manner
  • High level of IT skills
  • Excellent grooming standards
