The Executive Assistant (EA) is reporting totheHead of Global Medical Clinical Operations, and Head of Medical International and their respective Leadership Team (LT). This role has responsibility for all logistical and administrative functions to ensure a professional interface, seamless communication, and optimal coordination of activities on their behalf.
Essential Functions
Effectively manage administrative requirements and administration support.
Manage travel, calendar and visitor logistics (including itineraries).
Review and gain approval for expenses.
Arrange travel (including flights, hotels, etc) using current booking system according to policies.
Support Head of Global Medical Clinical Operations, and Head of Medical International agendas, ensuring optimisation and prioritisation of time.
Effective higher management of diaries and meeting schedules, co-ordination leadership activities, correspondences, ensuring agendas and corresponding documentation availability and distribution.
Support logistics for meetings and events, including off-site days.
Proactive engagement with staff & key stakeholders, across and outside of the business to help drive forward the Department in line with Ipsen’s strategy.
Learn functional aspects of the business to help support organisation requirements.
Support preparation of business documentation.
Office Management.
Education
Ideal: GCSE/A Level Qualification with degree or appropriate administrational qualification
Minimum: Administrational related experience
Experience:
5 years minimum experience as an EA supporting Exec Director levels
Pharma experience ideal but not essential
Project Management
Experience of planning and executing events
Pharma experience ideal but not essential
Extensive experience in project management
Excellent communication skills
Excellent written and verbal English and French communications skills.
Excellent skill level at MS Office especially Excel (Word, Power Point, Outlook).
Ability to travel to applicable meeting locations/hubs as required, up to 20% of the time.
