Variety is seeking an Senior Accounting Coordinator to oversee accounts payables for Variety and the BC Family Residence Program (BCFRP) and assist the Manager, Finance. This role will primarily support accounts payable and has the opportunity to grow into all areas of the accounting department.

Variety is seeking an exceptional Senior Accounting Coordinator to oversee accounts payables for Variety and the BC Family Residence Program (BCFRP) and assist the Manager, Finance. This role will primarily support accounts payable but has the potential to grow into all areas of the accounting department.

ROLE AND KEY RESPONSIBILITIES

Accounting Support

  • Ensures all invoices received are properly approved by the department manager and/or supported by signed purchase orders, contracts or agreements.
  • Supervises and reviews the processing and recording of Heart Fund and BCFRP accounts payable invoices. Ensures all payment requests are within the approved grant amount and guidelines.
  • Processes, records, and tracks administration invoices, payments and cash disbursements.
  • Ensures accurate coding of invoices and entry into the accounts payable system.
  • Prepares and prints cheques and EFT payments on a timely basis.
  • Arranges for signing officers to review and sign cheques and EFT payments.
  • Maintains supplier files and invoice and payment journals for each fiscal year.
  • Controls petty cash distribution and replacement. Reconciles petty cash fund monthly and prepares A/P journal entry.
  • Processes all credit card expenses. Reconciles to monthly statements and follows up on all outstanding items.
  • Provides information and supporting documentation and assist the Manager, Finance in connection with the year-end audit.
  • Assists the Manager, Finance to ensure that all revenues are properly recorded in the accounting system and provide coverage in the absence of the Manager, Finance.
  • Assists the Finance Team with documentation of policies and procedures.
  • Works on special projects as assigned by the Director, Finance as assists with other duties as needed.

Database Maintenance and Reporting

  • Maintains data integrity for the accounting and reporting system databases (Microsoft Great Plains and grant database).
  • Prepares financial analysis and reports as requested by the Director, Finance and other departments.
  • Provides Microsoft Great Plains training and support to the granting and BCFRP teams. 
  • Prepares reports for the granting programs
  • Participates in system upgrades and modifications as required.

ESSENTIAL QUALITIES AND EXPERIENCE

  • Minimum of five years experience with accounting processes and procedures.
  • Minimum of five years using accounting and database software applications.
  • Strong computer skills with proficiency in Microsoft 365 products.
  • Experience in Microsoft Dynamics Great Plains an asset.
  • Accurate and well organized with a high level of attention to detail.
  • Excellent verbal and written communication skills.
  • Able to process a high volume of transactions with accuracy.
  • Friendly disposition and ability to work well in a fast-paced environment.
  • Shows good judgment and tact in all areas of work and in all interactions with internal and external contacts.
