SUMMARY Reporting directly to Project Managers and/or to the Senior Project Managers, a Project Coordinator is actively involved in the day-to-day operations of their assigned projects while serving as a central point of coordination with the team on-site as well as in the office. The Project coordinator plans or aids in planning, organizing, and directing the activities of a construction project of a Project Manager or Senior Project Manager. This position will work in the head office or on-site as the projects needs dictate. Day-to-day responsibilities Involve working closely with the project managers, subcontractors, suppliers, and clients to ensure project success. The position requires limited to considerable judgment and latitude in performing job duties. This person is expected to function effectively with minimal to moderate direct supervision. The role also requires moderate construction knowledge, experience, and project management skills. This person will be responsible to assist other team members in overseeing/assistance on multiple and different stages of the construction process ensuring a building project is constructed within set timelines and within budget expectations. The Project Coordinator will assist in the management of milestones and liaise between contractors, consultants, the ownership group and our team to ensure that the project progresses as planned. Project Knowledge and Overall Duties: 1. As a member of construction team, complete own review of the project documents to ensure a thorough understanding of the scope of the project. 2. Demonstrate own interest to any/all projects and assigned duties by senior supervisors. 3. Working with team members, establish a thorough understanding of how the company’s list of trades and suppliers to fit to the size and scope of a project. 4. Create own prioritized work lists that fit the scope of this job description. 5. Provide back bone support to ensure all parties are performing to their maximum potential while maintaining Quorums interests/objectives a top priority. 6. Work in multiple capacities to multiple projects as the company requires. Specific Roles and Responsibilities (head office or on-site as the projects needs dictate): 1. Project tendering – if required, gather estimates/quotations from trades and suppliers as needed during the project and may include the tendering or at in-progress construction stages. Assembly of pricing results for review by senior personnel. 2. Conduct quantity takeoffs for any/all estimating and procurement needs. Use of company in house software is available. 3. Assist in the creation of bid documents including trade and supplier scopes of work. 4. Assist in the creation of General, Construction Management and trade contracts. 5. Create value-engineering and constructability list(s) items as generated by senior staff working on a given project. 6. Assist in the preparation of construction hard and soft cost budgets 7. Assist in the preparation of construction schedules including updates as work progresses. 8. Utilize in house construction management software to develop and generate project RFI’s and respond to trade RFI’S. 9. Transmit RFI’s responses, addenda or site instructions and other project information to trades and suppliers. 10. Contract Change Orders – process, generate, distribute and execute trade specific contract change orders utilizing the companies in house accounting system with accuracy and in a timely manner as necessary. 11. Issue trade and supplier PO’s and to ensure items are cost coded accurately. Coordination and approvals are required from Quorum managers/supervisors. 12. Conduct formal shop drawing/submittal reviews, and manage project documents, etc. 13. Consultant and trades communication – communicate with project specific consultant teams and trades as necessary to assist with project progress, i.e. schedule on site, remote or in office meetings. 14. May involve attendance to consultant and trade meetings including minute taking and distribution of minutes to attendees for actions. 15. Conduct and distribute daily reporting logs of all construction activities and construction personnel on the project site when required. 16. Coordinate consultant field reviews and testing as required for the construction schedule when required. 17. Produce/distribute formal field reports/inspections, when required. 18. Conduct material orders to project vendors as required by senior personnel. 19. Produce and keep up to date an on-site tools and materials tracking when required. 20. Communicate with authorities having jurisdiction (AHJ) and service providers as part of construction and/or the permitting process. 21. Assist the construction team to creation and implementation of site safety plans and construction management plans. 22. When required, assist senior construction team members to prepare/produce monthly construction status reports for client information. 23. Payroll assistance – when required, analyze and review field staff hours to ensure proper coding to accounting job cost. Completion of Quorum daily work sheets to be utilized for this purpose. 24. When required on site, process delivery paperwork related to on site activities complete with accurate cost codes. 25. Special reporting – Managers and supervisors may have specific items that need to be tracked, recorded, followed-up, etc. The project coordinator will be required to assist with this special reporting from time to time including keeping track of materials/consumables, rentals, deficiency repairs, schedule tracking, etc. 26. All task and activities require ample knowledge of Microsoft software such as Excel, Word, and Project. 27. Control project specific documents – create and maintain listings of project plans, RFI response tracking, and Site Instructions. Also, responsible to ensure that shop drawing submittals, RFI responses, site instructions, inspection reports and field reviews are organized and accounted for. (Procore/Dropbox/Shared Drive). 28. Trade/Subcontractor Communication & Notification – distribute email notifications for site activities to the trade contractors at the direction of the Managers. 29. Distribute relevant field reviews, inspection reports and consultant directives to applicable parties. Ensure deficiencies are being rectified per official reports. Additional Responsibilities: 1. Accommodate clients’ requests outside of traditional construction management scope of work. i.e. arrange sales personnel or prospective purchaser walk throughs/site visits, and working with developer and strata surveyor to determine strata plans etc. 2. Supervision and mentorship of more junior staff members to assigned projects including internal company processes. 3. Coordinate and report to head office management as required. 4. It is understood that this position may require overtime work as specific tasks may require. 5. Assist Quorum social media personnel with marketing efforts on occasion. Required Experience/ Qualification: 1. Minimum of 4-6 years of progressive experience in the construction industry. 2. Proven history of managing construction projects. 3. A high school diploma combined with equivalent construction experience or certificate/degree/vocational and/or technical school program in construction-related field. 4. Exceptionally strong in communication and organizational skills. 5. Ability to oversee assigned construction activities and/or junior work associates to ensure projects are completed smoothly and safely. 6.
