We are looking for an experienced multilingual Assistant to support our Business Group Head Rieter Machines & Systems (RMS). This is a permanent 80 - 100% assignment.
Assistant to Executive Vice President As Assistant to the Executive Vice President, the incumbent is responsible for providing a broad variety of administrative tasks to support the Business Group Head.
The purpose of the role is to ensure effective and smooth management of the business group heads’ day-to-day agenda. The job can range widely in duties and responsibilities, from handling the RMS meeting schedule, the Business Group Head’s agenda, making travel arrangements, collecting and preparing information for meetings/presentations, recording meeting minutes, chasing responses, and maintaining records of contacts.
Your Main Tasks and Responsibilities
Lead RMS meeting schedule, including organizing single meetings and managing meeting agendas, minutes, and follow-up items (to do list)
Maintain calendar, manage expenses and perform further administrative tasks for the Business Group Head
Arrange travel plans, travel agendas and provide support in the case of changes
Assist with presentations, reports and internal communication. Ensure presentation standards and timelines are followed by the RMS team
Support the Management Team where needed (e.g. Management Team RMS meetings, visits)
Global Travel Management for the Rieter group (administration of contracts, administration of travel guidelines, reporting, 3rd level support, execution of improvement projects)
Act as a focal point of contact for other departments and external stakeholders
Collaborate with the global executive assistants’ team to ensure successful execution of the group calendar, meetings with the executive team, events and projects
Plan, lead and manage smaller projects and events
Handle confidential information professionally
Your Qualifications
Commercial apprenticeship with a functionally related further education or bachelor’s degree in business administration
Previous direct executive support of min. 5 years in multinational company in the position as Administrative Assistant, Executive Assistant, or similar
Experience in other commercial functions is a plus
Proficient in communication- and office technologies, particularly MS Powerpoint and MS Teams
Ability to navigate in an international corporate environment
Experienced with calendar management and travel scheduling and booking
Ability to write minutes and corresponding to do lists
Ability to recognize where processes can be improved, and the initiative to improve them
Strong interpersonal skills and the ability to communicate with all levels and departments within the organization
Excellent verbal and written language skills in English and German
