About CSAP SocietyThe Society of Contaminated Sites Approved Professionals (CSAP Society) is an independent professional organization that is mandated by the Provincial Government, through the Ministry of Environment and Climate Change Strategy (ENV), to review environmental certification applications made under the Environmental Management Act and Contaminated Sites Regulation. CSAP Society credentials its members and recommends they be appointed to ENV’s Roster of Approved Professionals (APs). Members of the CSAP Society are qualified to review all low to medium environmental certification documents to ensure these regulations are being met. About the RoleThis position reports to the Executive Director and works in collaboration with the Board and Senior Administrative Coordinator. The Administrative Coordinator provides a range of administrative, clerical and project support, and is mainly responsible for processing submissions related to contaminated sites from members of the Society. This role interacts with the Society’s members, Ministry of Environment staff, other agencies, and the general public.ResponsibilitiesSubmissionsLogging and pre-screening all CSAP submissionsMaintaining current and accurate submission records in databasePreparing and sending screened submissions to the Ministry  Maintaining proper digital and physical filing of submissions and related documentsUpdating CSAP website with released certification documentsUpdating CSAP WebMap with released certification documentsMembership Monitoring and following up with members’ professional insurance and updating information on databaseMaintaining and updating members’ contact information in databaseBookkeepingEntering accounts receivables and revenues into accounting software Maintaining the cheque log and bank deposit registries AdministrationAdministering policies and procedures related to submissionsProviding support for events and meetingsProviding support to the Executive DirectorPerforming general clerical and administrative tasks as requiredGenerating statistics for reportsReviewing and updating manuals and processesQualificationsBachelor's degree in a relevant field.Minimum of five years of related experience, or the equivalent of education and experience.Experience with non-profit organizations. Requirements and skillsProven experience as an office administrator or relevant role.Familiarity with office management procedures and basic accounting principles.Excellent knowledge of MS Office and office management software.Knowledge of Sage preferred.Proven self-starter and proactive problem solver with strong initiative, critical thinking, and decision-making skills.Excellent organizational skills, with strong attention to detail.Excellent interpersonal, oral, and written communication skills; ability to effectively communicate and interact professionally with all individuals.Ability to prioritize and work effectively under pressure to meet deadlines and changing priorities.Ability to work independently and within a team environment. Ability to exercise tact, discretion, judgement, and diplomacy.Compensation & Benefits$60,000 - $75,000 CAD per year. Salary offer will be determined commensurate with experience and level of expertise. Benefits include extended health care and contribution to RRSP.
